Delivering a Fully Operational Hot-Desk Hub for a Growing IT Firm's New Office Acquisition

We helped an IT software firm transform a blank office acquisition into a fully functional shared workspace, enabling cost-efficient co-tenancy with multiple businesses.

The Challenge

An established IT software development firm — an existing client of ours for managed IT services — had recently acquired a new office space with ambitions beyond their own operational needs. Rather than absorbing the full overhead of a commercial lease alone, the business identified an opportunity to offset costs by opening the space to other companies as a shared, hot-desk style working environment.

However, the newly acquired premises required significant refitting before it could serve this purpose. The space needed to be reconfigured to accommodate multiple businesses with varying needs, while maintaining a professional, welcoming environment suited to companies whose teams work predominantly remotely and use the office on a flexible, as-needed basis.

Key challenges included:

  • Designing a layout that supported hot-desking flexibility without feeling transient or impersonal
  • Ensuring robust, scalable IT and connectivity infrastructure capable of serving multiple independent businesses simultaneously
  • Creating clearly defined shared areas — such as meeting rooms, breakout spaces, and communal facilities — that could be used fairly and efficiently across tenants
  • Delivering the fit-out to a timeline that allowed the client to begin onboarding co-tenants and generating cost-offset revenue as quickly as possible

Our Approach

Leveraging our established relationship with the client and our existing knowledge of their IT environment, we were well-positioned to coordinate a comprehensive fit-out solution. We worked closely with the client from the outset to understand not only their own requirements, but also the profile of the businesses they intended to host — predominantly remote-first teams requiring reliable, plug-and-play office access.

Our approach encompassed both the physical workspace configuration and the underlying technology infrastructure. Key elements of our delivery included:

  • Workspace layout planning: We collaborated with the client to define a practical floor plan that maximised usable desk capacity while incorporating dedicated meeting rooms, a communal breakout area, and clearly zoned shared facilities
  • Network and connectivity design: We designed and implemented a segmented network infrastructure to ensure each tenant company could operate securely and independently on the same physical network, with appropriate access controls and bandwidth management in place
  • Hardware procurement and installation: Workstations, monitors, peripherals, and shared display technology were sourced and installed to ensure a consistent, high-quality hot-desk experience for all users
  • Access and security systems: We advised on and coordinated appropriate access control solutions to manage building entry across multiple tenants securely

Throughout the project, we maintained close communication with the client to ensure decisions were aligned with their commercial goals for the space, keeping the fit-out practical, cost-conscious, and ready to scale as additional tenants came on board.

The Outcome

The office space was successfully transformed from an unfitted acquisition into a fully operational, professional shared workspace, ready to welcome multiple co-tenanting businesses. The client was able to begin onboarding partner companies promptly following project completion, immediately moving towards offsetting their occupancy costs through shared arrangements.

The infrastructure put in place ensured that each business using the space could do so with confidence — benefiting from reliable, secure connectivity and a professional working environment without the burden of managing their own dedicated office. The client, in turn, gained a well-structured, sustainable model for office cost-sharing that complemented their broader business operations.

As an extension of an already trusted IT services relationship, the project further cemented our role as a long-term strategic partner to the client — demonstrating our ability to deliver beyond traditional IT support and add tangible value across their operational and commercial goals.
